URBZ Capital (URBZ) is a young real estate investment boutique focused on asset management, acquisitions and development management within the urban industrial (last mile) real estate sector with an intense focus on creating societally and environmentally accretive assets. Supported by a number of blue-chip (institutional) capital partners, URBZ has accomplished a strong growth of its portfolio over the last two years across the Netherlands, Germany and Sweden.

Today, URBZ manages approximately 25 properties in the Netherlands, Germany and Sweden and is well capitalized to monetize the opportunities that are ahead of us. About the role

As an office manager & assistant, you'll be the gatekeeper of our operations, responsible for scheduling meetings, managing client communications, keeping accurate records, coordinate marketing initiatives, support with presentations and coordinating travel arrangements. You'll be the first point of contact for both internal and external stakeholders and must have excellent communication and interpersonal skills.

But that's just the tip of the iceberg, here's where it gets exciting – as we are active in multiple countries and you will work with various colleagues and stakeholders on a variety of projects in the Netherlands and across other geographies in Northern Europe such as Germany and Sweden.

Last but definitely not least, you'll also play a critical role in keeping our team organized and on track. We're a fast-paced, result-driven team and we need someone who can multitask, prioritize and think on their feet. We can make this job tailormade to your availability and a part-time structure is absolutely a possibility!


What will you be doing?

Most importantly managing the general office operations and supporting the team with a variety of tasks and be a central team player. The task can be split into:

  • Administrative Efficiency and Office Organization:
    • Oversee the cleanliness and organization of the office space.
    • Manage office supplies and keep everything well-stocked.
    • Handle communication channels, including emails, calls, and mail.
    • Schedule meetings, coordinate travel arrangements, and assist with event planning.
    • Prepare professional (company) presentations, memos, brochures and reports and assist with social media strategy
  • Team Support:
    • Welcome new team members and ensure a smooth onboarding process.
    • Provide assistance with HR-related tasks and maintain employee records.
  • Financial Management:
    • Process invoices, expense reports, and reimbursements accurately.
    • Coordinate with finance teams to ensure proper financial documentation.
  • Event Coordination:
    • Plan and organize company events, meetings, and conferences.
    • Coordinate logistics, such as venue selection and catering arrangements.
  • Technology and Office Equipment:
    • Maintain office equipment, troubleshoot issues, and coordinate repairs.
    • Stay updated on tech trends and explore opportunities for innovation.

 

What are we looking for?

  • Relevant experience as an office manager / assistant
  • Strong organizational and time management skills
  • Eye for marketing initiatives and project management
  • Excellent written and verbal communication skills in Dutch and English
  • Proficient in Microsoft Office Suite
  • No-nonsense and ability to work well in a team environment!
